Dory’s Den is a trading name of KL Psychology Limited (“Dory’s Den”, “we”, “us” or “our”). KL Psychology Limited is the data controller responsible for the personal information collected and used by Dory’s Den.

This privacy notice explains what personal information we collect, why we use it, how we keep it, who we may share it with and your rights in relation to your personal information.

What information we collect

Depending on how you interact with Dory’s Den, we may collect and use:

  • Your name and contact details.

  • Information contained in enquiries and correspondence with us.

  • Information you provide through questionnaires, forms or consultations.

  • Information about your cat, including their behaviour, history, routines, home environment and circumstances.

  • Relevant veterinary information about your cat.

  • Information about other people or animals within the household where this is relevant to understanding your cat or providing a service.

  • Photographs or videos of your cat that you choose to provide.

  • Records of consultations, recommendations and decisions.

  • Details of services you have used and associated transaction/payment records.

  • Information relating to feedback, complaints or claims.

  • Your marketing preferences where you have chosen to receive updates from Dory’s Den.

  • Technical information relating to your use of our website, which may include information such as IP address, browser/device information and website usage information.

We aim to collect only the information reasonably necessary for the purposes described in this notice.

Please avoid providing sensitive personal information about yourself or other people unless it is relevant and we have asked you to provide it.

How we use your information

We may use personal information to:

  • respond to enquiries;

  • arrange and provide Dory’s Den services;

  • understand your cat, their circumstances and the support you are seeking;

  • prepare recommendations and provide follow-up support;

  • communicate with veterinary professionals where this is relevant to feline behaviour services;

  • maintain appropriate records of the services we have provided;

  • process and maintain records of payments and transactions;

  • respond to feedback, complaints or legal claims;

  • meet our legal, regulatory and accounting obligations;

  • operate, maintain and improve our website; and

  • send Dory’s Den news, launch information or other updates where you have chosen to receive them.

We do not sell or rent your personal information to third parties for marketing purposes.

Our lawful bases for using your information

Information needed to provide our services
Some of the personal information we ask for is necessary for us to arrange and provide our services. If you choose not to provide information that we reasonably need, we may be unable to provide the relevant service.

Under UK data protection law, we need a lawful basis for using personal information.

For information needed to arrange and provide our services, we generally rely on contract because the information is necessary to enter into or perform our agreement with you.

Where we are required to process information to comply with the law, we rely on legal obligation.

Where you choose to receive marketing, launch information or other optional updates, we rely on consent. You can withdraw your consent at any time.

We may rely on our legitimate interests when dealing with enquiries, complaints or claims, including investigating concerns, resolving disputes and protecting the legitimate interests of Dory’s Den and the people who use its services. We only use information that is relevant and necessary for these purposes.

Where we get information from

Most personal information is provided directly by you, for example when you contact Dory’s Den, complete a form or questionnaire or take part in a consultation.

For feline behaviour services, we may also receive relevant information from your cat’s veterinary practice or veterinary professionals, where appropriate and where they have authority to provide it.

Veterinary information and collaboration

Some behavioural changes can be associated with physical health, pain or illness. Cat Behaviour Coaching is therefore provided in collaboration with your veterinary team and may require a veterinary referral.

Where relevant, we may receive information from, or share relevant information with, the veterinary practice or veterinary professionals responsible for your cat’s care.

We will only share information that is reasonably necessary for this purpose.

Who we share information with

We use trusted third-party providers to help operate Dory’s Den.

These currently include:

  • Squarespace – provides and hosts the Dory’s Den website and may process information submitted through the website, including contact forms.

  • Microsoft – provides email services used to send, receive and store correspondence.

We may also share relevant information with:

  • your cat’s veterinary practice or veterinary professionals where this is relevant to providing feline behaviour services;

  • professional or legal advisers where necessary; and

  • organisations where we are legally required to provide information.

If additional booking, payment, video consultation or other service providers are introduced in the future, we will update this notice where appropriate.

International transfers

Some of the service providers we use may process personal information outside the UK.

Where our processors transfer personal information internationally, appropriate safeguards must be used in accordance with UK data protection law.

For example, information processed through Squarespace may be transferred to the United States. Where applicable, international transfers may be protected through mechanisms recognised under UK data protection law, including the UK–US data bridge.

How we keep your information secure

We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, alteration or disclosure.

This includes using password-protected systems and reputable third-party service providers with appropriate security measures.

Access to personal information is limited to those who need it for legitimate business purposes.

How long we keep your information

We only keep personal information for as long as it is reasonably necessary for the purpose for which it was collected, including where records need to be retained for legal, accounting or the establishment, exercise or defence of legal claims.

As a general guide:

  • Enquiries that do not progress to a service: up to 12 months after the last meaningful contact.

  • Register-your-interest and marketing records: until you withdraw your consent or unsubscribe. We will periodically review inactive records and remove information that is no longer required.

  • Consultation and feline behaviour service records, including questionnaires, consultation notes, recommendations, relevant veterinary correspondence and photographs/videos supplied as part of the case: normally 6 years after the service or case ends.

  • Financial, transaction and accounting records: normally 6 years from the end of the relevant company financial year, or longer where legally required.

  • Complaints or claims: normally 6 years after the matter is concluded, unless there is a reason to retain the information for longer.

We may delete information earlier where it is no longer required. In limited circumstances we may retain information for longer where there is a legal, regulatory or other justified reason to do so.

The ICO does not impose a universal retention period; it requires organisations to be able to justify their periods and remove or anonymise information when it is no longer required. For KL Psychology Limited's relevant tax/accounting records, HMRC's current guidance generally requires records to be retained for six years from the end of the company financial year to which they relate, with some circumstances requiring longer retention.

Marketing

We will only send marketing emails or Dory’s Den updates where we have an appropriate lawful basis to do so.

Where you have signed up to receive updates, you can withdraw your consent at any time by contacting hello@dorysden.com or by using an unsubscribe option where one is provided.

Withdrawing your consent will not affect any other service you receive from Dory’s Den.

Cookies and website information

The Dory’s Den website uses cookies and similar technologies to help the website function and to understand how visitors use it. Some cookies are essential for the website to work and do not require consent. Where we use non-essential cookies, such as analytics cookies, these will only be used where you have given your consent.

You can accept, reject or manage non-essential cookies using the cookie settings available on our website. You can also control cookies through your browser settings, although disabling some cookies may affect how the website functions. Our website is hosted by Squarespace, which may place cookies or similar technologies when you use the site. Where information collected through cookies constitutes personal information, we handle it in accordance with this Privacy Notice.

Links to other websites

The Dory’s Den website may contain links to websites operated by other organisations.

Those organisations are responsible for their own websites and privacy practices. If you follow an external link, we recommend reviewing the privacy information provided by that website.

Your data protection rights

Depending on the circumstances and the lawful basis being used, you may have rights including:

  • Right of access – to ask for copies of personal information we hold about you.

  • Right to rectification – to ask us to correct inaccurate or incomplete information.

  • Right to erasure – to ask us to delete your personal information in certain circumstances.

Right to restriction – to ask us to restrict how we use your information in certain circumstances.

  • Right to object – to object to certain uses of your personal information.

  • Right to data portability – in certain circumstances, to ask us to transfer information you provided to us to you or another organisation.

  • Right to withdraw consent – where we rely on your consent, you can withdraw that consent at any time.
